Payment for all on line bookings via our website is by credit card in the name of person making booking.

For payments by other methods please contact Rainforest Ranch direct.

Bookings are not confirmed until the requested deposit & credit card details have been received.

Unconfirmed bookings may be reallocated without notice.

Rainforest Ranch reserves the right to vary these conditions for certain individual and group bookings.

Deposits & Payments
For bookings other than at Easter or between 24th Dec & 2nd Jan.

For bookings made more than 7 days before arrival date. A deposit of $100.00 is required at time of booking. The balance of booking will be considered due 7 days prior to Check-In. This may be automatically debited to the nominated credit card given as security (See Below). Sufficient funds need to be available to process payment or booking may be considered cancelled.

For bookings made less than 7 days before arrival date full payment for booking may be required at time of booking.

For bookings at Easter or between 24th Dec & 2nd Jan.

Vouchers: (Not Available On Line)

Full payment for voucher is required before voucher is issued. Vouchers are non-refundable. All vouchers are valid for a 12 month period from the date of purchase. A voucher will be sent to the nominated email address unless otherwise advised. Any special information required on voucher must be advised.

Reservations for vouchers can only be made by contacting Rainforest Ranch direct. Reservations are subject to availability. Please contact reception via email on reception@rainforestranch.com.au or phone 07 4935 1555.

Security

Credit card details in the name of the guest making the booking are required for all bookings regardless of method of payment. Card must be valid up to time of departure. By supplying these details the guest making the booking authorises Rainforest Ranch to debit any additional charges to the card.
Peak Times

Weekends: Higher then normal rates apply for one night bookings

Easter, Christmas, New Year and long weekends: Minimum stay of 3 nights may apply.

Check In/Out

Check-in from 2pm. Guests required to complete a registration form.

Check-out is at 10.30 am. Guest Invoice supplied on check out.

Early Check-in and Late Check-out are available on request and are subject to availability. Extra charges may apply.

Damage & Missing Items

Guests are responsible for any damage and missing items arising from their stay. Charges for damage & missing items will be debited to the nominated credit card given as security unless alternative arrangements are made prior to check out.

Untidy Departure

Guests are expected to leave their room in a neat & tidy condition. Cooking utensils & BBQ should be cleaned and returned to cupboard. $55/hour will be charged to the guest for extraordinary cleaning. Charges will be automatically debited to the nominated credit card given as security

Cancellation Policy

A. More than 14 Days Notice for bookings at Easter or between 24th Dec & 2nd Jan.

b. More than 7 Days Notice for bookings at other times.

Cancellation Fees

A. Full refund of the deposit less a cancellation fee of $55.00 per cottage can be given.
Deposit may be transferred to a new booking at another time without penalty.

B. Less than 14 Days Notice for bookings at Easter or between 24th Dec & 2nd Jan.
Less than 7 Days Notice for bookings at other times.

Full payment will be/may have been processed and no refunds will be given. If however the cancelled booking is subsequently filled or part filled, a full or partial refund of the payment less a cancellation fee of $55.00 per cottage will be given or the payment may be transferred to a new booking at another time without penalty.


GROUP BOOKINGS: TERMS AND CONDITIONS

The Group Booking Person/Event Organiser agrees to accept full responsibility for payment of all venue fees, accommodation and any other charges as described below.

1. Accommodation

The Group Booking Person/Event Organiser undertakes responsibility for payment of all accommodation charges not paid for by individual guests.
Names of guests occupying cabins must be advised 30 days prior to event.
All guests will be required to register on arrival and cabins may only be occupied by registered guests.
The cottages are designed for couples but can accommodate 1 extra adult or 2 small children on a sofa bed. Any extra occupants must be pre-approved by management.
Extra charges apply at the rate of $55 p/n per adult or $25 p/n per child.

2. Facilities

Facilities consist of three components.

  • Venue Hire: A set amount paid to confirm booking.
  • Setup Fee: An agreed amount based on number of guests advised 14 days prior to event.

Extras: Any extras deemed necessary are listed in Facilities and are at an additional cost.
Delivery charges will be included.

The following are general inclusions in venue Hire & Setup Fee (As needed for described event.)

  • Use of gardens, lawns, pool area and “The Shed” for your ceremony and reception or function.
  • Rectangle tables (1.8m) and white plastic chairs (1 p/p Reception)
  • White linen tablecloths & napkins.
  • Skirting provided for special tables. E.g. Bridal, Gift, Cake & Signing
  • Cutlery, Crockery & Glassware for tables provided.
  • Cake Knife and server set provided.
  • Signing table and chairs.
  • PA system & microphone available for use. Connect your own music via your own selected playlist on a IPod, Laptop or similar. Television available for slideshows etc.

The Group Bookings Person/Event Organiser unless otherwise arranged accepts responsibility for:

  • Provision of table decorations & additional room decorations etc
  • Set up of table decorations and additional room decorations.
3. Catering

Our appointed caterers Byfield Bush Café will provide an excellent variety of food options for your event. It is the responsibility of the event organiser to arrange their catering needs with the Byfield Bush Café. All arrangements are strictly between Group Booking Person/Event Organiser and Byfield Bush Café.

Only in circumstances deemed exceptional by Rainforest Ranch can other caterers be used. The quality of catering provided reflects on the image of Rainforest Ranch. Any such caterers must be approved by Rainforest Ranch with regards their capacity to provide an adequate and acceptable service of food & cleaning.
BBQ’s Dinners and Breakfasts

Rainforest Ranch can provide BBQ’s Dinners and Breakfasts for guests during your event. A minimum charge equivalent to 12 persons applies.

4. Bar & Alcohol
  • Bar staff appointed by Rainforest Ranch will be present for all events where alcohol is served.
  • All directions regarding the service of alcohol given to the Group Booking Person/Event Organiser must be adhered to.
  • Rainforest Ranch is a licenced venue and all alcohol will be supplied by Rainforest Ranch.
  • NO BYO Allowed except for consumption by registered guests in cabins.
  • Alcoholic wedding favors are not to be consumed on premises.
  • Alcohol will not be served to minors.
  • All provisions of the Responsible Service of Alcohol Policy will be observed.
  • Bar tabs may be operated during the event.
  • Payment for such tabs must be made at completion of tab unless prearranged otherwise.
  • Normal bar service will be available outside of any bar tabs.
5. Other Services

Rainforest Ranch may assist you by putting you in touch with trusted service providers that you may require for your event. Such as photographers, celebrant, hairdresser, florist, etc.

Negotiations for such services are strictly between the service provider and the Group Booking Person/Event Organiser

6. Photographers

We request that Photographers supply to Rainforest Ranch free of charge a minimum of 6 high resolution digital images of the event that may be used for promotional purposes. Images should be supplied within 14 days of the event & must be free of copyright. Photographer are encouraged to brand these photos for self promotion.

7. General Use of Venue

Use of venue by non-registered guests is restricted to date and duration of the actual event. Any other use is subject to approval by management. Extra Fees may apply.

Non-registered guests must remain in the areas set aside for the event.

8. Cleaning

Any extraneous cleaning (cleaning caused by activities and behavior inconsistent with described will be charged at the rate of $55 per hour. Payment will be debited to the credit card provided by the Group Booking Person/Event Organiser as security.

9. Objectionable Material

Confetti and rice are not allowed on the grounds. Cleaning charges of $55.00per hour may apply should you use any of the above or any similar products that cause excessive cleaning. Payment will be debited to the credit card provided by the Group Booking Person/Event Organiser as security.

10. Smoking

Smoking is not permitted within any building or area set aside for reception. Smoking is only permitted in designated outdoor areas. Butts must be disposed of properly.

11. Loss of property

Whilst Rainforest Ranch will take every care, we are not responsible for damage or loss of goods or merchandise left on our premises before, during or after your function.

12. Amplified Music

All amplified music must be kept at a reasonable level in accordance with any government regulations applicable at the time. All amplified music should cease at 12.00 midnight. Rainforest Ranch reserves the right to direct the Group Booking Person/Event Organiser to turn down or cease any amplified music. The Group Booking Person/Event Organiser agrees to abide by any such direction. Rainforest Ranch reserve the right to refuse the use of music providers deemed to be unacceptable, by way of size and/or anticipated sound volume.

13. Illegal Substances

Illegal substances and drugs are not to be bought onto the property and the use or possession of any such substances will not be tolerated. The Group Booking Person/Event Organiser agrees to abide by any direction given by Rainforest Ranch in relation to such substances.

14. Payment

The Group Booking Person/Event Organiser is responsible for the full payment of any unpaid charges. If guests are paying their own accommodation Rainforest Ranch will amend room booking to that person and bill guests accordingly. Payment schedule for accommodation as described below applies in all cases.

15. Payment schedules for all function bookings
Venue
  • Venue Fee is paid on confirmation of booking.
  • Per Person Setup Fee calculated 14 days prior to event and balance will be due 7 days prior to the event.
    Facilities (Extras)
  • Payment for all Facilities is due 7 days prior to event. Any orders made less than 7 days prior to the event must be paid on ordering.
    Accommodation

a. A deposit of $100.00 per cabin is required from event organiser or guests. This is due 1 Month prior to check in or within 7 days of accepting this agreement if time of event is less than 1 Month away.

b. Full payment is due 7 days prior to check in.

c. It is the responsibility of the Group Booking Person/Event Organiser to advise the names of all guests being accommodated at Rainforest Ranch and any preference of cabins. Name, Address, Email & Mobile Ph are required.

d. A credit card authority from ALL guests is required on Check-in.

e. The Group Booking Person/Event Organiser is responsible for any accommodation which has not been paid for directly by guests.

Venue & Extras

a. For a number of reasons associated with running our type of business, and being able to provide the service and the unique facilities we offer payment of the Venue Fees and deposits for extras are NOT refundable.

b. For cancellations of venue hire within 28 days of the event any other payments made are non refundable and any payments due must be paid in full at time of cancellation. Payment will be made by debiting the credit card provided by the event organiser as security.

c. Deposit & payments may be transferred to another date subject to availability. A Transfer fee of $500.00 may apply.

Accommodation

a. When notice of cancellation is given, MORE than 28 Days (4 weeks) A full refund of the deposit less a cancellation fee of $55.00 per cottage can be given. Deposits may be transferred to a new booking at another time without penalty.

b. When notice of cancellation is given, LESS than 28 Days (4 weeks) All payments are subject to forfeiture unless the cancelled booking is subsequently filled or partly filled. In such cases a full or partial refund of the payments will be given or alternatively payments may be transferred to a new booking at another time. A $55.00 transfer fee will apply.
